POSITION SUMMARY

The Client Coordinator Intern will work hand in hand with experienced Account and Project Management leaders servicing various small-scale clients at Fortune 500 brands. The role requires owning client, vendor, and internal relationships while supporting production needs from project inception through completion. The Client Coordinator Intern interprets the needs of all facets of the project and has a firm grasp on the retail marketing landscape. This role is expected to have previous experience in Microsoft Office Suite, specifically Excel. This is a paid full-time internship. 

JOB RESPONSIBILITIES

  • Supports day-to-day operations of the Client Service and Project Management departments where needed while developing an advanced understanding of all aspects of administration including policies, procedures and processes. 
  • Gains exposure to retail marketing projects throughout the lifecycle including project kickoff, monitoring project progress, while ensuring on-time delivery and timely invoicing.
  • Partners with account team members and/or the project management during project kickoff and creative review meetings to ensure client needs and deliverables are met.
  • Ensures conflicts/issues are resolved to keep projects on track and maintains high quality standards in all client deliverables.
  • Supports in creation of internal print and production grids, along with client facing scope of work documents. Ensures accurate and timely invoices are generated by maintaining correct project details and supporting evidence, including change orders and rework, throughout the project lifecycle.
  • Assists in vendor communication as related to specific project needs, by sharing deliverable needs and requesting quotes, ensuring vendors stay on track with timelines and within target budgets.
  • Help coordinate day-to-day and administrative project needs while gaining exposure to both strategic and creative aspects of our work.

QUALIFICATIONS / REQUIREMENTS

  • Current enrollment in undergraduate degree program in a Business Administration, Marketing, Communications, Project Management or related field in the Portland, Oregon area  
  • High degree of proficiency MS Office Suite, Outlook & Internet applications.
  • Strong analytical, prioritizing, interpersonal, problem-solving, presentation, budgeting, project management (from conception to completion), & planning skills.
  • Strong verbal and written communication skills (including analysis, interpretation, & reasoning).
  • Ability to develop and maintain collaborative relationships with peers and colleagues across the organization, as well as, internal and external clients.
  • Ability to work well autonomously and within a team in a fast-paced and deadline-oriented environment.
  • Ability to work with and influence peers and senior management.
  • Self-motivated with critical attention to detail, deadlines and reporting.
  • Ability to work overtime as necessary.

  • Regularly required to stand; walk; sit; use hands and fingers, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl; and talk, hear and see.  
  • Regularly/Occasionally lift and/or move up to 10 pounds. (Standard is 10lbs, modify as needed)
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Personal mode of transportation is perferred.
